Documents Required for Girls Hostel Admission in Lahore

What you need to bring, why each document is asked for, and what it should tell you about a hostel that does not ask for any of it.

Hostel admission paperwork is not bureaucracy for its own sake. Each document on the list exists because of a specific situation the building has to be able to handle — and a hostel that asks for none of it is not verifying anyone else either.

This is the full checklist at Maple Girls' Residence in Lahore, with what each item is actually for.

The checklist

Document What is needed
CNIC / B-Form Original for verification, photocopy for the file. Under 18: guardian's CNIC as well
Passport photographs 2–4, clear white or blue background
Proof of purpose of stay University admission card, employment offer letter, or internship / hospital posting letter
Parent / guardian details Father's or mother's name and CNIC, contact number, permanent home address
Emergency contacts Two verified contacts with full name, relationship and active phone numbers
Medical information Known allergies, pre-existing conditions, blood group
Character proof Character certificate, or institutional verification, with biometric CNIC check
Hostel agreement Signed rules agreement, sub-meter undertaking, gate curfew acknowledgment

Why each one is asked for

CNIC or B-Form

Identity verification is the foundation of everything else. A women-only residence that does not verify who lives there cannot claim to control who is inside it. The original is checked and a photocopy is kept in the residence file; applicants under 18 provide a B-Form plus the guardian's CNIC.

Passport photographs

Used for the ID badge and gate pass. This is what lets gate staff recognise residents rather than relying on memory — the practical mechanism behind "only residents get in".

Proof of purpose of stay

An admission card, an employment offer letter, or an internship or hospital posting letter.

This one does more work than it appears to. It is what keeps the resident community genuinely students and working women, which is the thing most residents and parents are actually buying. At Maple Girls' Residence the mix includes university students, doctors, nurses, teachers and corporate professionals — and this document is why.

Parent or guardian details

Name and CNIC, a contact number, and the permanent home address. Used for the late-pass approval process — at Maple, a late pass requires prior parental approval over WhatsApp — and as the point of contact if something serious happens.

Two emergency contacts

Two, not one, with names, relationships and numbers that are actually active. The reason for two is simple: the first one does not always answer.

Medical information

Known allergies, pre-existing conditions and blood group. Nobody enjoys writing this down and it is the item most likely to matter. In an emergency the warden needs it immediately, not after a phone call to a family member who may be in another city.

Character proof

A character certificate, or verification from your institution, alongside a biometric CNIC check. It is a background check by another name, and it is applied to everyone — including the people who will be living on your floor.

The hostel agreement

Three things signed together at Maple Girls' Residence: the house-rules agreement, the electricity sub-meter undertaking, and the gate curfew acknowledgment.

Read this before signing, not after. It is the document that governs your notice period, your deposit, the late surcharge and the curfew. The full set of house rules is on the main page.

What to prepare in advance

To avoid a second trip:

  1. Originals and photocopies of your CNIC or B-Form, and the guardian's if you are under 18
  2. Four passport photographs, so you are not short
  3. Your proof of purpose — admission card, offer letter or posting letter
  4. Guardian's CNIC number, phone number and permanent address, written down
  5. Two emergency contacts, checked with them beforehand
  6. Your blood group and any allergies or conditions
  7. Your character certificate, or a note of who at your institution can verify you

What it means if a hostel asks for none of this

It means the same non-verification applies to everyone else in the building.

A hostel that will hand you a key on a phone call and a deposit has no record of who is living there, no emergency contact for anyone, no way to verify a visitor against a resident, and no basis for the security it advertises. The paperwork is mildly tedious for you and it is the mechanism protecting you from everyone else's shortcuts.

What happens after the documents

Admission at Maple Girls' Residence runs in this order:

  1. Visit — arrange a viewing by phone or WhatsApp and see the rooms, dining hall, study lounge and security arrangements before paying anything
  2. Choose a room type — single, twin or triple sharing
  3. Submit the documents on this checklist
  4. Sign the agreement, the sub-meter undertaking and the curfew acknowledgment
  5. Pay the security deposit and the first month's rent, which is due on or before the 5th of each month thereafter

The security deposit is refundable after a room inspection at the end of your stay.

Costs, including the deposit and the Rs 90 per unit electricity charge, are in the price guide. If you are still deciding on a room type, see private vs twin vs triple sharing.
